Important Seminar Policies and Details (Updated September 20, 2022)

COVID-19 Notice

Safe and highly effective COVID-19 vaccines are now universally available at no cost for anyone age 5 and up in the USA, and the impact of the COVID-19 vaccines has been positively dramatic for the vaccinated.  Unfortunately, highly-contagious COVID-19 variants remain a threat to the unvaccinated (the vaccines don't guarantee that you won't be infected with COVID-19, but full vaccination is very effective at preventing hospitalization and death from COVID-19 complications).  Unless otherwise required by government mandate, we do not require seminar attendees to wear a mask in the seminar classroom but we do encourage at-risk attendees to consider the CDC's recommendations on how to protect yourself from COVID-19.  See this FAQ for basic measures that we're taking to encourage a healthy classroom experience, but attendees should understand that no measures can eliminate all risk of COVID-19 transmission in the seminar classroom.  Any vaccinated or unvaccinated individual concerned that their (or their household members') health profile puts them at high risk of severe COVID-19 complications should consult with their healthcare provider before registering for our in-person group training seminars.  By entering the seminar classroom, attendees assume and accept the risk of potential COVID-19 infection.

Tuition, Discount and Payment Policies

Early Pay Registration Tuition (save up to 25 percent):  Standard Registration Tuition is $1,040 per student, per seminar day, but generous tuition discounts apply when tuition payments are received by the Early Pay Discount Cut-Off Date (see location-specific dates in the table below).  The Early Pay Discount increases with the number of seminar days attended by each student:
  • A Good Deal . . . Attend Any One Day (save 5 percent)  For any student attending one seminar day, discounted Early Pay Tuition is $985 per student, per seminar day.
  • A Better Deal . . . Attend Any Two Days (save 12 percent)  For any student attending two seminar days, discounted Early Pay Tuition is $915 per student, per seminar day.
  • The Best Deal . . . Attend All Three Days (save 25 percent)  For any student attending all three seminar days, discounted Early Pay Tuition is $780 per student, per seminar day.
The above tuition rates exclude any applicable taxes.  Please understand that each seminar's Early Pay Discount Cut-Off Date is strictly applied, and one day late is one day too late to qualify for the above discounts (we offer the strong incentive of the Early Pay Discounts because paid early registrations allow us to efficiently contract our meeting space and catering commitments for each seminar location).
Standard Registration Tuition:  For paid registrations received after the Early Pay Discount Cut-Off Date (and for any Early Pay Discount tuition payment received after the corresponding payment due date), Standard Registration Tuition of $1,040 per student, per seminar day applies.
Returned Payment Fees and Procedures:  If a registrant's check payment is returned/rejected due to non-sufficient funds, Earthwork Software Services will cancel the corresponding seminar registration and advise registrant of said cancellation via email.  The ability to reinstate a registration cancelled due to a returned/rejected payment is subject to the availability of seats at the cancelled registration's corresponding seminar location.  If reinstatement of a cancelled registration is requested, and corresponding seminar seats remain available, the invoiced amounts for said reinstatement will include (1) the then-applicable seminar tuition, (2) any non-sufficient funds and/or collection fees suffered by Earthwork Software Services and (3) a $50 service fee.  Earthwork Software Services will accept and confirm a reinstatement of registration only when the reinstatement payment is made by Money Order or Cashier's Check.
Close of Registration:  Registrations are not accepted after a location's Close of Registration Cut-Off date (typically the Friday immediately preceding a location's first seminar date, see location-specific dates in the table below).
Payments:  Please DO NOT send seminar tuition payments before registering and receiving a tuition invoice (online registrants can view/print an invoice immediately and a copy of the invoice is also emailed to the registrant--see this FAQ if a confirmation/invoice was not received).  Tuition payments must be received by the earlier of any applicable Cut-Off due date (see table below) or 30 days from the date of registration.  Timely receipt of registrant's tuition payment will (1) confirm the seminar registration, (2) lock in any applicable Early Payment Discount, and (3) guarantee seminar admission.  We do offer a "weekend grace period" if you are registering on a Friday Early Pay Discount Cut-Off date (as long as we receive registrant's tuition payment no later than the Monday immediately following that seminar's Early Pay Discount Cut-Off date, we will honor the discounted tuition shown on the corresponding invoice, and the "grace period" will be noted on the invoice).
Because our seminars have limited seating, unpaid registrations are subject to cancellation after the invoice's payment-due date (if registrant's registration is cancelled for non-payment of tuition, registrant will receive a cancellation notice via email). Please understand that seminar admission will be denied to unpaid/cancelled registrants.
Tuition is quoted, and payable, in U.S. Dollars.  Invoiced tuition is exclusive of any applicable sales, use or value-added tax (most states do not tax seminar training services; however, determination and payment of any applicable tax imposed by the registrant's state of domicile remains the responsibility of the seminar registrant).  Tuition payments may be made by check or money order, payable to "Earthwork Software Services, LLC" and delivered (via postal mail or courier service) to: 3440 Lismore, Conyers, GA 30012-3196 USA.  Earthwork Software Services is not affiliated with the software manufacturer (AGTEK) and we cannot accept checks payable to "AGTEK".
Credit Card Payments:  Earthwork Software Services does not accept credit card payments.
Seminar Admission Notice:  Please understand that seminar admission is granted only to students for whom full tuition payment has been received by Earthwork Software Services.  Registrants can verify their payment status 24/7 online via our Customer Support page.  It is the registrant's responsibility to do whatever it takes (such as instructing their accounting department to generate a hand-written check that is sent via next-day delivery) to make sure that their tuition payment is received no later than the corresponding Cut-Off Date (or 30 days from date of registration, if earlier) for the student's chosen seminar location:

Cancellation, Refund and Transfer of Registration Policies

Cancellation by Earthwork Software Services  If a seminar is cancelled by Earthwork Software Services, registered students will promptly receive a 100 percent refund of their paid tuition.  Although seminar cancellations are rare, Earthwork Software Services CANNOT ACCEPT responsibility for the cost of non-refundable travel arrangements that registrants may have made for a cancelled seminar.  BEFORE MAKING NON-REFUNDABLE TRAVEL ARRANGEMENTS for a seminar, registrants are strongly advised to contact Earthwork Software Services to check the seminar's cancellation risk.
Cancellation by Government Mandate  If a seminar is cancelled by force of federal, state or local legal mandate (no fault of Earthwork Software Services), registered students will receive a credit equal to 100 percent of their paid tuition.  The corresponding tuition credit will expire one year (365 calendar days) after the cancelled seminar dates and unexpired tuition credits can be applied to any future seminar(s) scheduled by Earthwork Software Services.  Please understand that Earthwork Software Services CANNOT ACCEPT responsibility for the cost of non-refundable travel arrangements that registrants may have made for any seminar that is cancelled by force of legal mandate.
Cancellation by Registrant  Registrants cancelling at least 30 calendar days in advance of the corresponding seminar start date will receive a 90 percent refund (paid tuition, less 10 percent service charge).  Tuition is non-refundable for registrants cancelling within 30 calendar days of the corresponding seminar start date; however, the following options are available in that case:
  • Another employee of a cancelling registrant's business organization can be substituted as the seminar attendee, even if the substitute attendee works in a different office location and/or in a different business/division under the same corporate "umbrella" as that of the cancelling registrant's business organization (there is no charge for this substitution option; simply advise us of the substitute attendee's name so a correct name tag is available for them at the seminar).
  • A cancelling registrant can apply an 80 percent tuition credit (paid tuition, less 20 percent service charge) to a new registration for a different seminar location/date within the current seminar season schedule (the invoice for the new registration will reflect the difference between the applied tuition credit and the applicable tuition rates for the selected seminar location).  This option is NOT available for "NO SHOWS" -- Earthwork Software Services must be advised (by phone, fax or email) not less than 24 hours before the seminar begins (by 8:30 am EST the day before the seminar) that the registrant will not be attending the seminar.
  • If neither of the above non-refundable cancellation options is feasible, a cancelling registrant can apply an 80 percent tuition credit (paid tuition, less 20 percent service charge) to a next-season seminar registration.  The next-season seminar schedule and corresponding open registration should be available by mid-October.  Seminar tuition may increase from one seminar season to the next and the invoice for the next-season registration will reflect the difference between the applied tuition credit and the applicable tuition rates for the selected next-season seminar.  There is no guarantee that identical seminar courses and/or identical geographic seminar locations will be scheduled from one seminar season to the next.   This option is NOT available for "NO SHOWS" -- Earthwork Software Services must be advised (by phone, fax or email) not less than 24 hours before the seminar begins (by 8:30 am EST the day before the seminar) that the registrant will not be attending the seminar.
Use of Tuition Credits  Tuition credits corresponding to any of the above non-refundable cancellation situations can be used to reregister any employee of the cancelling registrant's business organization, even if the reregistered employee works in a different office location and/or in a different business/division under the same corporate "umbrella" as that of the cancelling registrant's business organization; however, tuition credits are non-transferable in all other respects.  Tuition credits expire one year (365 calendar days) after the seminar date for which the cancelling registrant was originally registered.  So long as it has not expired, or reached a zero balance, a tuition credit can be applied to a single new registration or to multiple new registrations (the online registration system tracks the tuition credit's expiration date and declining balance as the credit is applied to one or more new registrations).  An alternate use of a tuition credit is to request a Credit-for-Handbook Exchange (see the Request Form for terms and details).
Final-Season Refund of Tuition Credits  After 20+ years of conducting his AGTEK training seminars, our seminar instructor will retire upon completion of the 2022-2023 seminar season. Any tuition credits issued during the final 2022-2023 seminar season (per the above non-refundable cancellation situations) that remain unused and unexpired at the conclusion of the 2022-2023 seminar season (end-of-summer 2023) will be refunded by Earthwork Software Services within 30 days of the final 2022-2023 seminar's completion date.

Popular Seminars Fill Up and Sell Out

We reserve the right to reject registrations when a seminar has reached its full capacity (seating is limited at each location).  Register as early as possible to avoid any disappointment (registrations are processed on a "first-come, first-served" basis).

Unpopular Seminars are Cancelled

We reserve the right to cancel a seminar when too few paid registrations are received.  Cancellation decisions are typically made on each seminar location's Early Pay Cut-Off Date, based on the number of paid registrations received through that date (a minimum of five paid registrants per day is typically required to prevent a seminar's cancellation).
Tip: Your paid early registration will help insure that your preferred seminar location is not cancelled!

Correctly Identify Your AGTEK Product

Because Earthwork Software Services does not know which AGTEK products our seminar registrants may own and use, it is imperative that prospective seminar attendees correctly identify their AGTEK products to insure that they register and attend the appropriate seminar(s).  The surest way to identify an AGTEK product is to start the AGTEK program and select Help > About... from the program's pull-down menu, which will produce a window identifying the name, version number and release date of the product.  Otherwise, examine the product manuals delivered with your AGTEK system or call AGTEK at (925) 606-8197 and ask them to check their database to identify the AGTEK product.  This PDF document provides a functional comparison of the various AGTEK 3D and AGTEK 4D earthwork modeling products (AGTEK 3D users should see this related FAQ).  Please understand that tuition credits/refunds WILL NOT be extended to students who attend the "wrong" seminar.

Consider the Attendee's Experience and the Seminar Prerequisites

It is assumed that all seminar attendees are familiar with site grading plans and associated earthwork terminology (they understand what is meant by terms such as existing grade, design grade, contour, spot grade, slope, stripping, cut, fill, and compaction)--those that are new to the civil construction industry might benefit from our beginners' learning resources.  For those attending the seminars only to make a product purchase evaluation, or only to understand what the products are capable of doing, no other prerequisites apply.  However, these fast-paced, lecture/demonstration style seminars are designed to take other attendees (those who are "hands-on" users of the products) well beyond the basic training provided to them by AGTEK at the time of purchase.  For hands-on users, the following prerequisites also apply:
Day 1:  Some prior hands-on experience with Sitework 4D, Gradework 4D, Earthwork 3D, SitePlan 3D, SiteModel 3D or GradeModel 3D is strongly recommended.  Students with no prior hands-on experience may be overwhelmed by the volume and detail of information presented, especially if they will also be registering for the Day 2 and/or Day 3 seminars.  New AGTEK users are urged to get at least some hands-on experience with their AGTEK earthwork software before attending our seminars (see this FAQ).
Day 2:  Experience with the Day 1 "Earthwork Modeling Step-by-Step" topics is strongly recommended.
Day 3:  Proficiency with the Day 1 "Earthwork Modeling Step-by-Step" topics is strongly recommended.

Seminar Registration Confirmation/Invoice Displayed in Pop-Up Window

The Earthwork Software Services web site uses a pop-up window to display your registration confirmation and invoice (and a lot of other useful information too), but pop-up blockers on your computer will prevent you from viewing and printing this information.  To insure that you can view/print your seminar registration confirmation and invoice, please set your web browser and internet security software to allow this site's pop-up windows.  Consult our pop-up blocker tips page or your company's IT Manager if you have any questions regarding disabling your pop-up blockers.

Important Seminar Registration Notifications Sent by Email

Earthwork Software Services relies on email to quickly deliver critical information to you regarding your seminar registration (registration confirmation/invoice, venue announcements, late-payment notices, and registration cancellation notices).  Assuming that you provide a valid email address when registering, the Number One reason that will prevent you from receiving our email notices is the use of overly-aggressive SPAM filters on your organization's email server and/or on your local computer.  To insure that you do receive the email notices that we send to you, please set your SPAM filters to accept email sent by "EarthworkSoftwareServices.com" (our email notices will always include "AGTEK" in the Subject Line).  Consult our email tips page or your company's IT Manager if you have any questions regarding settings for your particular SPAM filters.
